Features of DDR

Interface

A simple interface makes the utilization of DDR easy and quick. This feature insures a short learning period.

  • A series of buttons at the top of the forms allows management of records (donors, accounts, …) and navigation between those records.
  • Navigation and selection arrays make it possible to quickly fill a field or access a record. Those arrays can be easily ordered by clicking on the desired column.

DDR is bilingual, meaning that the user can chose between English and French for the language of the interface.

Gifts

  • The gifts processing is done by using 3 forms
    • Accounts
    • Donors
    • Gifts
  • The processing of the gifts is fast since only 4 fields need to be filled : the date when the gift was received, the donor number, the account number and the amount of the gift.
  • A system of checkboxes makes it possible to automatically insert data (date, donor number and account number) that is common between gifts, thus reducing the processing time.

Report

DDR can produce the following reports :

  • Donors list
  • Accounts list
  • Gifts
    • group by date, account, donor
    • for a date or an interval of dates
    • for a donor or an interval of donors

Those reports are very helpful for the person in charge of verifying that the deposits balance.

Gifts receipts

  • DDR makes it possible to produce gifts receipts that are in conformity to the administrative requirements of the government.
  • A digital signature is printed on the receipts thus eliminating the need to manually sign every receipt.
  • For each donor, there is a sheet that contains 4 receipts (sections) :
    1. For the donor
    2. For the provincial government
    3. For the federal government
    4. For the charity

The address of the donor, in the first section, is positioned to be visible in a #10 window envelope, thus eliminating the need to print labels when mailing the receipts.

N.B. : The receipts must be printed on pre-numbered sheets (governmental requirement). Those sheets can be ordered directly from the QCCC. The sheets are perforated, making the separation of the receipts easier.

Charity

  • To access a charity, a person must authenticate himself (username and password) to insure the data is protected.
  • The digital signature, which is saved in the charity, is protected just like the data.

User

  • Each charity can contain multiple users.
  • The administrator rights can be given to the desired users in order to give them access to privileged options such as :
    • Changing the digital signature
    • Accessing the Accounts management form
    • Accessing the Users management form
    • Accessing to the form that produces the gifts receipts
    • ...
